Vacation handover template: 5 Simple Steps With AI

Vacation handover template reviewed by two colleagues before planned time off

Your out-of-office reply is ready. The report is not. Someone needs to chase the vendor, and the only instructions are currently living in your head. Excellent travel planning. Slightly less excellent coverage planning.

Vacation handover template first, AI second: list what needs action, who has agreed to cover it, where the files live, and what can wait until you return. Then ask an approved AI tool to organize those facts into a short plan.

Below is a copyable template and a five-step workflow, with a fictional example. The point is to give your colleague enough context to act without turning your final afternoon into a documentation marathon. AI can help draft the handover. It cannot confirm that someone has accepted the work.

Vacation handover template you can copy

Put this in the shared document or project tool your team already uses. Keep it short enough that the person covering can scan it. Repeat the task section only for work that needs attention while you are away.

  • Away: [first day] to [last day]. Back: [date and relevant time zone].
  • Cover confirmed with: [person and responsibilities they accepted].
  • Task: [clear name].
  • Current status: [what is done, blocked, or waiting].
  • Next action: [specific action and trigger].
  • Due: [actual date/time, or Confirm].
  • Agreed backup: [person, or Confirm].
  • Source: [working file, thread, or task link].
  • Escalate to: [agreed decision-maker and when to involve them].
  • Can wait: [work explicitly parked until your return].

If the document has seven pages of background and no clear next action, it may be a history book. Your backup needs a plan. Link to the background instead of copying it all in.

1. Collect the real facts before asking AI

Check your active task list, upcoming deadlines, recurring work, and any conversations where somebody is waiting for you. You are looking for the work that will become somebody else’s problem during your absence.

For each item, record what happens next and where the evidence lives. “Vendor issue” is too vague. “If the delivery confirmation has not arrived by Tuesday noon, ask the vendor for an update in the existing email thread” is usable.

Separate three groups: needs action during leave, can wait until return, and needs a decision before you leave. The last group matters. Passing an unresolved decision to a colleague is not the same as giving them authority to make it.

Atlassian’s account of its own out-of-office process describes centralizing absence dates, project status, contacts, and supporting links. You can use the same basic idea in a simple shared document. No new platform required.

Use an AI tool your workplace permits. Remove confidential client details, private personnel information, passwords, and access tokens. A link belongs in the final handover only if the intended colleague is allowed to use it.

2. Ask AI to organize the notes and expose gaps

Start a normal text conversation. You do not need to connect an inbox or calendar for this exercise. Paste only the notes you have checked and are permitted to share.

Copy this prompt:

Turn the notes below into a concise vacation handover template. Use only the supplied facts. Group work into Action during leave, Can wait until return, and Decisions needed before leaving. For each active task include current status, next action, due date, agreed backup, source link, and escalation route. Write Confirm wherever a fact is missing or ambiguous. Do not invent owners, dates, file links, commitments, or approval. Finish with a short list of questions I need to resolve. Notes: [paste sanitized notes].

Review the output against the original notes. A tidy layout can hide a bad assumption. If you wrote “maybe Sam,” the finished document must not quietly say “Sam owns this.”

Vacation handover template tools and prompts are useful for structure. They are not a substitute for checking who is actually available.

3. Check a worked example against its source notes

This is an illustrative example with fictional names and tasks, not a tested company handover.

Messy source notes:

Away Nov 23–27, back Nov 30. Weekly report due Nov 25 at noon, Mountain Time. Priya confirmed she will check the October export and send it. Figures ready in the reporting folder. Vendor delivery confirmation expected Nov 24; no backup agreed yet. Dashboard color changes can wait until I return. Morgan is the escalation contact for a late report. Need to confirm where the vendor thread is saved.

A checked handover would say:

Action during leave

Weekly report. Figures are prepared; October export still needs checking. Priya has agreed to check the export and send the report by November 25 at noon, Mountain Time. Source: reporting folder, with the actual link still to be added and tested. Escalation contact: Morgan if the report is at risk of being late.

Vendor delivery confirmation. Expected November 24. Backup: Confirm. Source thread: Confirm. Next action and escalation route: Confirm before leave. This is an unresolved item, not accepted coverage.

Can wait until return

Dashboard color changes. Park until November 30. No action needed during leave.

Decisions needed before leaving

  • Agree who will watch for the vendor confirmation and what they should do if it does not arrive.
  • Add and test the reporting-folder and vendor-thread links.
  • Confirm the escalation route for the vendor task.

The useful part is the visible uncertainty. An AI-generated name would make the document look finished while leaving the actual task uncovered.

4. Confirm the coverage with a real person

Send the draft to the colleague covering you before your last working afternoon, when practical. Ask them whether the actions are clear, the deadlines are workable, and the links open for them.

GitLab’s customer-success time-off handbook describes confirming coverage dates and providing the context and resources the backup needs. Its internal policies belong to GitLab; the transferable idea is to agree the handoff rather than assume it.

Useful message: “Could you check the two tasks in this handover and confirm what you can cover? Please flag anything unclear or any file you cannot open before I finish on Friday.”

If nobody can take a task, ask your manager what should move, pause, or be reassigned. Do not solve that gap by putting a colleague’s name in a document and hoping for the best.

For scattered files, the shared-drive cleanup guide can help make the source links easier to find. For recurring updates, the weekly status report workflow gives you a useful starting record.

5. Write the handover email and set your absence message

Once coverage is agreed, send one short internal message pointing to the shared plan. The document holds the detail; the email tells people where to go.

Internal handover email:

Subject: Coverage while I am away, [dates]

I will be away from [date] through [date] and back on [date]. The handover is here: [shared link].

[Name] has confirmed coverage for [tasks]. [Other tasks] can wait until I return. For [specific escalation], contact [agreed person/channel].

Please flag any remaining access or coverage questions before [last working time].

Keep an external automatic reply shorter. Do not expose an internal project document to every sender.

External out-of-office reply:

Thanks for your message. I am away through [date] and back on [date]. For [type of request] during my absence, please contact [approved business contact]. Otherwise, I will review your message after I return.

Use only an approved contact who has agreed to cover the request. Replace every bracket before saving. If you have no external cover arrangement, omit that sentence.

Optional: make your calendar match the message

Microsoft documents scheduled out-of-office replies in Teams and synchronization with Outlook automatic replies. Set the correct start and end times, then check what teammates and external senders will see.

Google Calendar’s help page explains out-of-office events and meeting-decline settings. Availability depends on your account and organization settings. Calendar availability is separate from a Gmail vacation reply.

Neither setting assigns your tasks to somebody else. That part still needs the agreed handover.

Before you close the laptop

  • Every task needing attention has an agreed owner, next action, and real deadline.
  • Unresolved coverage is raised with the person who can change the plan.
  • Your backup can open the linked files without borrowing your login.
  • The shared document and absence messages agree on your return date.
  • Work that can wait is clearly parked.
  • The final version contains no invented details or unfilled brackets.

Vacation handover template complete? Ask your backup to walk through the next action for each live task. Any question they ask now is a gap you can fix before leaving.

When you return, use the inbox catch-up routine to reconnect with what changed. For now, give your colleague a clear plan and yourself a realistic stopping point.
